Great Wolf Resorts, Inc. (“Great Wolf”) may operate automatic license plate reader (“ALPR”) technology at certain of its physical resort locations. The purpose of such ALPR technology is to read and store vehicle license plate data (“ALPR Information”). This system is to further enhance guest and vehicle safety by capturing elements that may include a vehicle’s license plate number, the date and time of entry and exit from a parking facility, the location of the parking facility, and images of the vehicle and surrounding area.
1. How ALPR Information is Used
Great Wolf limits its use of ALPR Information for investigating and/or alerting of vehicular activity at Great Wolf Lodge locations.
2. Access to ALPR Information
Internal Access. Internal access to ALPR Information is limited to authorized Great Wolf employees who have a legitimate business purpose for such access (“Authorized Personnel”). They may include the following:
- Security managers;
- General managers; and
- Corporate administrative personnel
Before receiving access, Authorized Personnel receive information security training regarding their handling of ALPR Information. Violations of this policy may result in disciplinary action, up to and including termination.
External access. Great Wolf does not sell ALPR Information. In certain jurisdictions, ALPR Information stored at Great Wolf Lodge locations is directly accessible by law enforcement agencies. Great Wolf may share ALPR Information in limited circumstances, including:
- With law enforcement or regulatory authorities when required by law and to comply with legal processes;
- When necessary to ensure the safety and security of guests, employees, or third parties; and
- With service providers in connection with their performance of services on Great Wolf’s behalf; all third parties with such access are contractually required to safeguard all ALPR Information and use it only for authorized purposes.
External access requests are logged to include the following:
- Name of the requesting entity;
- Name of individual making the request;
- Intended use of the ALPR Information; and
- Whether the request was granted
3. System Monitoring and Access Logging
To prevent unauthorized access, we maintain records of all access logs to ALPR Information, including:
- Who accessed the ALPR Information;
- The date and time of when it was accessed;
- The purpose of accessing the ALPR Information; and
- The license plate number and/or other data elements accessed
4. Reviewing and Retaining ALPR Information
Great Wolf takes reasonable measures to ensure the accuracy of the ALPR Information.
ALPR Information is retained only for as long as necessary to fulfill the purposes described in this policy. When Great Wolf determines retention is no longer necessary the ALPR Information is destroyed, unless it is determined that it must be retained to satisfy legal obligations.
